Booking Rules
These principles govern our travel planning partnership. By securing your adventure, you verify that you have understood and consented to these standards. We maintain the right to adjust these terms prior to finalisation. Your continuous engagement with our offerings implies acceptance of the most recent conditions displayed on our site during your reservation process.
"You" signifies every traveler covered by a booking. "The Agency" or "We" identifies Soul Sister Holidays ABN 83 818 913 762, our specialised travel firm delivering curated group journeys for our global community of women seeking connection and exploration.
Contract Scope
The legal relationship between Soul Sister Holidays and our clients encompasses these General Terms along with the specific Itinerary, Booking Form, and Waiver. Consistently, these items represent the entire agreement, overriding any previous discussions. No outside promises apply unless they are explicitly recorded within this formal documentation delivered to you before the commencement of your journey.
On certain travel packages, we serve as an agent for external operators. In those specific cases, your direct service contract is with the third-party provider and governed by their unique policies. We will clearly label these instances and supply the necessary vendor information before your trip is finalised. Our accountability for agency-based sales is limited as outlined in the Responsibility section of this text.
BOOKINGS
Confirmation starts when a finished Booking Form is delivered to Soul Sister Holidays by each guest. A spot is officially secured only after we issue a written receipt and your deposit payment has been processed. This forms a legal bond according to the terms listed here. Soul Sister Holidays holds the authority to reject any booking request at our discretion. Major changes to these rules require executive approval, as staff cannot modify terms independently.
PRICES AND inclusions
All prices are quoted in Australian Dollars (AUD).
Your tour price covers everything listed in your itinerary: accommodation, the transport shown, the activities and experiences shown, the meals shown, and your Soul Sister Holidays host throughout.
Soul Sister Holidays tours are land only. The price does not include international or domestic flights, travel insurance, passports, visas, vaccinations, gratuities unless stated, meals or drinks not listed in the itinerary, personal spending, or anything not specifically described in your itinerary.
Tours are priced on twin share. If you would like your own room, a single supplement applies, shown at the time of booking. If you are travelling solo and happy to share, we can match you with a like minded roommate at the twin share rate, subject to availability.
Prices shown on our website may change before you book, for example if currency or supplier costs move. Once you have booked and paid your deposit, the price confirmed in your written confirmation is your price and will not change.
DEPOSIT
A deposit, in the amount shown at the time of booking, secures your place. Your place is confirmed only once we send you a written confirmation and your deposit has been received.
We book accommodation and services on flexible or refundable terms wherever possible. Because of this, if you cancel, your deposit is refundable to you less any costs we have already paid on your behalf that we cannot recover. We will always tell you what these amounts are. The balance of your tour is due by the date shown at the time of booking. We offer an easy payment plan so you can spread the balance gently between booking and the final payment date. You can pay by card or direct deposit.
If a payment is late, your place may be at risk and supplier prices may rise. We will always contact you first and do our best to hold your place, but we cannot guarantee a rate or a booking that is lost because a payment was not made on time.

If you need to cancel, please let us know in writing as soon as possible.

Because we book on flexible and refundable terms, we will refund everything we are able to recover from our suppliers. What we cannot refund is limited to:

Any costs we have already paid on your behalf that the supplier will not return to us, for example a cruise balance or an activity booked on non refundable terms closer to departure.

The closer your cancellation is to departure, the more of your tour we are likely to have already paid for and committed, so the less we may be able to refund. Any amount we keep will reflect our genuine, demonstrable costs only. It will never be an arbitrary penalty, and it will never be more than you have already paid us.

We strongly recommend you take out travel insurance with cancellation cover from the moment you book, so that costs outside our control, such as illness, are protected.
If you cancel

Our tours run with a minimum number of guests. If that minimum is not reached, or if circumstances genuinely beyond our control prevent the tour from running, we may need to cancel or reschedule.

If we cancel, you will receive a full refund of everything you have paid to Soul Sister Holidays that we are able to recover, or the option to move to another departure.

Because our tours are land only, we are not responsible for any flights, travel insurance, or other arrangements you have booked separately. For this reason we recommend you hold refundable flights or appropriate travel insurance, and that you do not book flights until we confirm your departure is going ahead.

We protect your data securely and never sell it to third parties. We only share essential details with trusted travel partners required to operate your trip.
